The next step in the tenant representation process is to finalize the lease. The normal process is that a landlord’s agent will have their attorneys produce four original lease documents that will be delivered to the tenant’s office. In most cases I will hand deliver the leases to my client for their signature.
The client will review the leases one last time before the leases are signed. I also review the leases at the same time. If everything looks correct the client will execute all four copies and attach two checks. One will be for the first month’s rent and the other check will be the security deposit. Once these tasks have been completed I will deliver the leases back to the landlord’s office.
It may tay one to three days to have an executed lease depending upon the location of the individual that signs the lease on the landlords behalf. Once the lease is executed the landlord will deliver the executed lease to the tenants office and generally set a time of the construction kick off meeting within a few days.
When the meeting is set we normally will make certain that the architect delivers carpet, cabinet, carpet and paint samples to our clients office. This way the client will be prepared to discuss their top selections with the architect. If carpet isn’t ordered in a timely fashion the construction project may be delayed for a week or longer.
During the first meeting the general contractor will produce a construction schedule for your project. It should provide specific declines for dirfferent phases of the project. Everyone’s goal during this time is to do everything possible to delivery your new space on time and to your exact specifications.
We monitor the construction process too. Our goal is to guide the process so that the heist quality space is build fror your new office. We also want to do everything possible to make certain that your dallas office space will be ready for your firm to move into on the designated date.
While the space is being build you will also provide your data communications vendors and security vendor the contractor’s information. It is important that they arrive at the proper time during the construction run cabling and other pertinent hardware before the walls are closed and the ceiling ride is installed.
You will also want to take advantage of this time to acquire the appropriate insurance prior to your move in. You will also want to select any new furniture that your business will need and the appropriate moving company. One last item it to order new stationary, business cards and notify your customers and vendors of your new address.
When the construction is completed we will schedule a day to walk the space with the contractor to look for defects that will need repairs. I like to meet with my clients an hour before the meeting to walk the space and look for punch list items that will need attention. It is easier to find defects when we are on our own and this way we will be prepared for the walk through with the contractor and landlord.
The last step is to get your keys. This is the most satisfying step for me because you now have achieved your goal and I helped you. After the keys are inn your hands it is time to get your movers into high gear and get the trucks rolling.
